How to add scheduling links to email signature

Step by Step guide to add FreeBusy booking link (scheduling links) in your Gmail or Outlook email signature with examples of best practices.

Adding a FreeBusy booking link to your email signature eliminates the back-and-forth when people need to book an appointment with you because they don't have to ask you when you are free. People can easily propose a meeting by clicking the link in your signature.

  • Sales Reps use it to let potential leads to book their time.

  • Recruiters use it advertise screening calls for open positions

  • Customer Success uses it to provide customers a way to book support calls

  • Team leads and managers use it to let their teammates hold times for internal meetings

Below are steps to add the booking link to your signature in Outlook and Gmail.


Adding FreeBusy Booking link to Outlook email signature.

  1. Copy the booking link to an Event Template (or Collection of Event Templates) you wish to have in email signature.

  2. In Outlook, create a New Email

  3. Click on "Signature" and click on "Signatures" from the drop down. It will open a dialogue box.

  4. Paste booking link in signature on appropriate place. You may also write call to action line, to let your recipients know that they can book your time with this link. Once you are satisfied, click on "ok".

  5. Now you can use this signature to let your recipients book your time easily !

Adding FreeBusy Booking link to Gmail email signature

  1. Copy booking link of an Event template or a Collection you wish to share in email signature.

  2. Open Gmail and start click on compose new email.

  3. From bottom tool bar, click on insert signature icon.

  4. From there click on "Manage Signatures"

  5. Write call to action line at appropriate place, to let your recipients know that they can book your time with FreeBusy booking link.

  6. Select the line, and click on anchor icon to add the link to the text, and then click "OK". Then click on "Save Changes" at the bottom of page, to finalize the changes.

  7. Now you can use this signature to let your recipients book your time easily !
